Ratio review and analytics is automated and more accurate with CaseWare

As a business underpinned by a mantra of “applied thinking and professionalism”, MBH Accounting and Tax Services CC prides itself on being able to deliver the best in class services to clients.

Marquerette Beath, Accountant and Tax Practitioner with MBH Accounting and Tax Services CC, says: “The business, accounting and tax environments in South Africa are constantly changing. To stay ahead of the curve in a shifting environment means having more flexibility to be able to identify the forces that will shape your business – and that of your clients. It was with this in mind that we started adopting software solutions that are designed and developed to streamline accounting and financial reporting for professionals.”

MBH Accounting and Tax Services CC begun implementing CQS software solutions in the business in 2012 and today the practices makes use of CQS’s full suite of packages for back office and working papers, including; CaseWare Time, Corporate Tax Module, TaxWare, Financial Statements for a PTY-SME, Financial Statements for a Trust-SME, Probe, SecWare, SmartSync, Individual Tax Module, and CaseWare | SAIPA Bundle (English).

“We are passionate about what we do and we strive to be better at what we do every day. Deploying CQS’s solutions within our business has enabled us to speed up processes involved with financial reporting and compiling financial statements on behalf of our clients. Added to this, the software system is automatically updated with any changes in regulation, which also means that we can continuously deliver the most professional service regulated by the relevant laws to our clients – and within the best time possible,” adds Beath.

Beath noted that over-and-above the day-to-days functions actioned with the aid of CQS’s solutions, she has been most impressed with the automated Ratio Analysis calculations in CaseWare Working Papers – and mentioned that in future she would like to see CQS bring out a Trust Tax Returns Model sometime in the future.

“We see ourselves as an extension of our clients’ businesses and as a key strategic partner to each one of them we are driven to deliver efficient, reliable and quality services, every time. CQS’s solutions better empower us to do this and meet all our business needs. I truly believe that CQS’s software solutions are the best available in the market today and I would certainly recommend their products to other professionals and corporates,” concludes Beath.

Don’t miss a minute with CaseWare Time

Accounting professionals tend to feel strongly about CQS’ CaseWare solutions. That’s because once they start using software specifically designed to support their work, it becomes indispensable. That’s certainly the case for Mary-Anne Fanner, proprietor of Compu-Accounting, a company which provides accounting and tax consultancy services

“We’ve relied on CaseWare Time for the last 8 years, but still remember when we first moved to it,” says Fanner. “That’s because it paid for itself within two months.”

Keeping track of time spent on clients was formerly done in a spreadsheet, continues Fanner. “This was inadequate as the possibility of missing billable hours was always there. With CaseWare Time, that problem is eliminated. You can easily review work in progress through the month gauge if enough has been done to bill in that month. With reports pertaining to client history, you can instantly see if the client is worth writing down for non-billable hours,” she says.

The solution also supports improved staff productivity. “You can manage your staff far more efficiently regarding their billable and non-billable time.  You can also see baselines and compare each year’s productivity against the preceding years,” Fanner notes.

And with an accurate record of which employees have turned in the most billable hours, CaseWare Time makes it easy to decide on bonuses and annual increases based on productivity reports.

“CaseWare saves time, improves productivity and efficiency, while providing an instant view of the company performance at any time. There is much more to CaseWare Time than just billing, it’s a management tool. It gives me more control and allows me to effectively manage my practice. Would I recommend it? Absolutely.”

BVDM gets more done with CaseWare Working Papers

Annual financial statements can be drawn up using a word processor and a spreadsheet, but it really isn’t the best way to approach this complex task. That much is clear to Sharoy Stumke, senior auditor at BVDM Financial Services. Since moving to CQS CaseWare Working Papers, he says the busy company is able to get far more work done in a lot less time.

“Not only is CaseWare user friendly, but it also allows for the preparation of a neat and professional set of financial statements. And making adjustments to the financials can be done while discussing with the client, with end results displayed immediately,” he says.

With templates set up for specific clients, he says a full set of annual financial statements is produced in a mere 15 to 20 minutes. “The statements look great and there’s no need to worry about compliance, as CaseWare ensures it is all taken care of.”

Using word processors and spreadsheets is a distant memory, says Stumke, as the company started using CaseWare a decade ago. Since then, the software has sped up business. “It also saves trainees time, helping them to get through far more compared with the time they spent on the typed financials.”

CQS software is relied upon extensively in the business, adds Stumke. “With an up-to-date database of clients, we can plan and manage the business effectively. CQS Time allows us to monitor the time spent on a specific job, TaxWare makes it easy to handle all client tax matters and SecWare manages the secretarial side.”

Using CQS, he says, makes life easier. “I’d definitely recommend CaseWare Working Papers and other CQS solutions.”

CaseWare adds to the bottom line for busy accounting firm

Using CQS CaseWare Working Papers, H&K Accounting Solutions partner Hugo de Rosnay produced eight sets of annual financial statements in under two hours. And in doing so, he says he has full confidence of complete compliance with IFRS requirements, while also being afforded scope to take on more clients.

“As a sole business owner, the productivity boost from using CQS CaseWare is remarkable. The payback period on the price of the software is also negligible: after using it to do three sets of financial statements, it has paid for itself,” says a delighted de Rosnay.

He says the first time use does take a little longer, owing to the requirement to set the software up, but after that it is plain sailing. “Efficiency is very important when producing financial statements. Most clients have theirs done within the first month of year end; with CQS CaseWare, it is quite possible to do thirty to forty sets in that month.”

Most importantly, stresses de Rosnay, that is achieved with no compromise in quality. “The solution supports the delivery of an efficient and professional service to my clients. And I depend on CQS to keep me updated on IFRS and to ensure I am compliant with my clients’ Annual Financial Statements. In short, CaseWare is efficient, professional and easy to use.”

Take the worry out of Annual Financial Statements, like Jozini Municipality

For many government CFOs, the preparation of Annual Financial Statements can be cause for concern. However, by using a suitable financial system (software) there is no longer any need for concern or reliance on consultants.

Jozini cut its expenditure of approximately R2m on consultants when the municipality prepared its own financial statements for the first time using the relevant modules provided by CaseWare.

When Mr. IS Xulu , Financial Reporting and Compliance at Jozini Municipality in northern KwaZulu Natal prepared the Annual Financial Statements for the first time, he discovered that with CaseWare, many of the tasks are automated while compliance with all applicable legislation is assured.

“I’ve never prepared Annual Financial Statements before; the last financial year end was a first time for me. However, thanks to CaseWare, the process ran easily and without any complications,” he says.

Xulu says the Jozini municipality already had CaseWare implemented before he took up his employment. That meant the initial setup, including mapping of the chart of accounts, was already done. As a result, he says the job of preparing the Annual Financial Statements was a particularly smooth-running process. “What I found is a system that enables you to prepare Annual Financial Statements in a short space of time. More than that, it makes a daunting task enjoyable and user friendly,” he notes.

With responsibility for compliance, Xulu points out that CaseWare helps ensure that every rule and requirement for GRAP is fulfilled. “Like all municipalities, we are required to comply with GRAP, so software that enforces this is highly desirable as it keeps me up to date with all the compliance changes during the year,” he adds.

Thanks to the automation and built-in compliance delivered by CaseWare , Xulu has the confidence to approach any year-end in the knowledge that the duties of the accounting department are supported by the best available software. “Financial year-end is no longer a time for apprehension,” he notes.

As a result, Xulu says CaseWare can be recommended to other municipalities. “I’ve never seen a system with the same attributes and capabilities. CaseWare makes the production of Annual Financial Statements easy,” he concludes.

CaseWare delivers speedy AFS for Mpumalanga Gambling Board

Like many organisations, the Mpumalanga Gambling Board would use a spreadsheet to help with the preparation of its Annual Financial Statements. However, relates CFO Lucas Maseko, “This process was typically quite slow and labour-intensive.” On the basis of his past experience with CaseWare Working Papers, it made sense to introduce the software – and gain the benefit of reduced time, greater accuracy and, as an added bonus, ensuring Generally Recognised Accounting Practices (GRAP) compliance.

Established in 1995, the Mpumalanga Gaming Board is a provincial public entity charged with the responsibility of performing all functions assigned to it in terms of the Mpumalanga Gambling Act and other applicable legislation. It advises, reports and makes recommendations to the Responsible Member of the Provincial Parliament on matters relating to the control of gambling in the province.

“I’d had plenty of experience working in an audit firm prior to joining the Mpumalanga Gambling Board; while there we used CaseWare quite extensively. I was both familiar with the technology and understood the benefits it could offer to us at the Board,” says Maseko, explaining why he introduced the software.

With CaseWare, many of the time-consuming, laborious tasks associated with the preparation of Annual Financial Statements are automated. The software also enforces processes and ensures that all the requirements for GRAP compliance are fulfilled. “The the format of the financial statements produced by CaseWare is really good. The software draws attention to any discrepancies and also enables effective mapping in terms of populating the Annual Financial Statements with information drawn from the accounting system,” says Maseko.

Specific functions that he appreciates include the notes facility and the ability to customise accounting policies to suit individual needs. “You could say that everything about it is much better than what we had before,” Maseko notes, adding that the GRAP compliance is a critical factor for any public sector entity.

“The benefits we get from CaseWare are enormous – not only in terms of the time saving and productivity increases accrued through the mapping option, but also thanks to automation. That eliminates human error, which was an issue we faced in the past using the manual spread sheet method.”

While he feels it can be a little difficult for public sector finance workers to make the leap from a spreadsheet to CaseWare – necessitating training as an integral component of the solution – Maseko has no hesitation in recommending the solution. “Based on how well it works and the automation it offers, I think any government department can benefit from this software,” he concludes.

The Mpumalanga Gaming Board was using a spreadsheet programme to guide the preparation of Annual Financial Statements. When CFO Lucas Maseko took over the reigns, he knew there was a better way of preparing documents faster, more accurately and with complete GRAP compliance.

Maseko introduced CaseWare Working Papers to expedite the production of Annual Financial Statements and ensure compliance.

With market-leading CaseWare software, this public sector entity has significantly accelerated the performance of its finance department. It now rapidly produces quality Annual Financial Statements which are GAAP compliant, error-free and with a high degree of automation.

Annual Financial Statements on time: CaseWare boosts productivity for University of Limpopo

At the University of Limpopo, preparing the Annual Financial Statements has become considerably easier following the introduction of CQS CaseWare Working Papers Enterprise Edition. From a situation where large quantities of financial information presented a serious challenge for spreadsheets, today the organisation’s Financial Manager, Gail Meekings has a far better experience preparing and delivering Annual Financial Statements on time.

Situated in the Limpopo province, the University of Limpopo is the result of a 2005 merger between the former Medical University of Southern Africa and the University of the North.

“With a trial balance which runs to 9000 lines, the spreadsheets we had in use were completely unsuitable,” Meekings says.

Having wrestled with spreadsheets and large information sets, one of CaseWare’s standout features is its automatic updating of all linked information, such as notes and page numbers.  “As soon as the trial balance is imported, it provides checks to makes sure the figures add up and are consistent throughout,” Meekings says.

More efficient

In this technological age, Meekings cannot understand how anyone could still use a spreadsheet to draft Annual Financial Statements. “CaseWare just makes it so much easier and more efficient. It allows you to drill down, it gives you a clear audit trail, and the lead sheets are a great feature,” she explains.

When presenting Annual Financial Statements to auditors Meekings says the response is always good. “Our auditors, KPMG,use CaseWare themselves and so can offer guidance should we need assistance.  They like that fact that the changes are done throughout the Annual Financial Statements, so there is no need to go through all 9000 lines to examine details. We just supply the CaseWare file and they use the lead sheets,” she notes.

Return on investment

As an accountant, Meekings is well aware of the concept of return on investment. “We’ve absolutely seen that return. We worked with CQS Consulting to get the CaseWare template exactly as we needed it but like many organisations, our resources are limited. Without CaseWare we wouldn’t be able get our Annual Financial Statements done on time. In short, it is extremely efficient, user friendly and logical.”

With large data sets, spreadsheets proved impractical in supporting the preparation of Annual Financial Statements. Getting the job done on time was becoming impossible.

CaseWare Working Papers Enterprise Edition was introduced, with templates customised by CQS Consulting to meet the University of Limpopo’s particular requirements.

Using CaseWare, the accounting department enjoys an efficiency boost, and delivers fast, accurate and professional Annual Financial Statements.

CaseWare Enterprise: Save time and get it right the first time

At veterinary pharmaceuticals company Onderstepoort Biological Products (OBP), producing Annual Financial Statements has become a faster, easier and more accurate task since it introduced CaseWare Working Papers’ Enterprise solution. Using the software, Financial Manager,Zolani Poni says the company’s accounting department enjoys a significant boost in productivity while knowing the figures it produces are accurate.

A government organisation, OBP develops products for animal health. It plays an important role in the prevention and control of animal diseases in South Africa, Africa and the rest of the world.

Zolani Poni says prior to the move to CaseWare Enterprise, OBP used a spreadsheet to guide the process of creating our Financial Statements. “Before we moved to CaseWare,it took a whole month to prepare a reviewable version of the Annual Financial Statements ready to be handed to the auditors,” he notes.

Rapid improvement

Zolani Poni is unequivocal about the improvements OBP has experienced in the first year of using CaseWare.  “Now, the preparation of our draft Annual Financial Statements takes us just two days,” he reveals. “That compares extremely well with the previous year.”

With regards to efficiency, Zolani Poni says he likes the ease of changing and deactivating notes, with CaseWare automatically renumbering them.“Functionality like this makes life a lot easier,” he notes.

And if this year’s Annual Financial Statements went well, Mr Poni says the process should become even more efficient in future. “The structure in CaseWare means that once the files are set up and mapped, you just update with new information. With CaseWare keeping the core information as well as your calculations, once your Trial Balance is correctly mapped, the output is synced. That means you won’t have problems with your Annual Financial Statements.”

Professional documents

Using the software also means Mr Poni’s department presents auditors with a professionally structured set of documents.

“Without a doubt, CaseWare has made it easier and quicker to draft documents and has streamlined the audit. The auditors were very impressed with our Annual Financial Statements this year, noting the quality of International Financial Reporting Standards disclosures.”

Supported by a spreadsheet, the preparation of Annual Financial Statements was a time-consuming, error-prone task for Onderstepoort Biological Products.

CaseWare Working Papers Enterprise replaced the spreadsheets, bringing a proven process-driven approach to the preparation of Annual Financial Statements.

The introduction of CaseWare Working Papers Enterprise has dramatically reduced the time taken to produce Annual Financial Statements. It improves accuracy and delivers professional-looking documents that auditors appreciate.

No more versioning challenges with CQS SmartSync

The ease with which electronic files can be duplicated can cause challenges with versioning, particularly when working collaboratively. This was an administrative reality for busy accounting practice Zomersig Accounting Services, which operates in the Western Cape wine-making region. However, with the implementation of CQS SmartSync, the company has eliminated this source of frustration and given its team of professionals a productivity boost.

That’s according to Arend Neethling, manager at Zomersig Accounting Services. “Before migrating to SmartSync, the method was to simply copy CaseWare files from the server onto a laptop, work on the files, and then copy them back.”

The drawbacks to this approach include the inadvertent creation of multiple versions of the same files, resulting in the potential for confusion and hampering efficiency.

Lower bandwidth, multiple users

Neethling says the previous Caseware Working Papers deployment required substantial bandwidth which made it difficult to collaborate. “Even on a simple local network, only one person could work on a CaseWare file and enjoy good access speeds,” he remarks.

The introduction of SmartSync has solved most of these issues, Neethling says. “With a lower bandwidth requirement, multiple people can work on the same file on the same server with no slowdown.”

He adds that the introduction of uncapped internet is a further bonus, as most clients are more than happy to let visiting accountants or auditors use their connection.  “If a Sync copy is made before field work, a VPN connection can be employed to ensure that the server copy is always up to date.”

Not only does this eliminate the problem of versioning, but it also minimises the risk of lost work.

He has particular praise for the performance of SmartSync in dealing with the larger clients of his company which typically require collaboration within CaseWare Working Papers. “Collaboration on these tasks definitely saves time. Efficiency is also improved, as every person is able to work at the processing speed of his or her computer, whereas in the past, performance was limited by network bandwidth. Due to this, files requiring collaboration have almost zero slowdown.”

Indispensable for collaboration

Any accounting company that has collaborative work as part of its business processes would do well to consider SmartSync, Neethling believes.” Even the implementation is simple. Installing SmartSync is seamless and the only training required is a slight education of users to click a little tick mark when opening it. The software takes care of the rest.”

In short, he says “SmartSync has made things easier and has increased file fidelity.”

Onsite collaborative work at accounting firm Zomersig Accounting Services was hampered by high bandwidth requirements, necessitating a manual process copying of files from the server before visiting clients. This created problems with versioning and the potential for lost work as a result of incorrectly overwriting files.

With the implementation of CaseWare SmartSync, accounting professionals can work locally, while syncing remotely over a VPN connection. Low bandwidth requirements allow many individuals to collaborate, with work done remotely saved centrally.

Easy-to-use, SmartSync has enabled a gain in efficiency while reducing the frustration associated with versioning challenges.

CaseWare SmartSync Working Papers: Produce Annual Financial Statements the Smart way

The preparation of Annual Financial Statements requires the orchestration of a considerable amount of interlinked documentation and the coordination of the work of several people. Achieving that can be an agonisingly complex process, unless using CQS’ CaseWare SmartSync.

That’s become clear for Durban-based accounting, advisory tax and audit practice RSM Betty & Dickson. Partner Jason Howitz says where the company’s employees once manually accessed CaseWare files on a central computer, today SmartSync allows team members to easily access the required information and work on it collaboratively from anywhere.

“In the past we’d experience frustrations with capacity but now SmartSync delivers efficiency and the ability to work away from the office and have access at virtually any time,” he says.

Howitz says the company is experiencing a 15% to 20% recovery on time spent which was never able to be billed to clients. “What’s more, SmartSync is easy to work with, which means our clerks are very impressed with the tool,” he notes.

For example, he says that when conducting a review, the process is considerably more efficient. “SmartSync allows you to review client files remotely and for clerks and management, the efficiency and accessibility when away from the office has proven a great benefit,” Howitz explains.

For all accountants, there are three words which make a great deal of sense: Return on Investment. In this regard, Howitz is unequivocal: “There’s no doubt that we have achieved ROI, especially in the context of the incident where computers were stolen. If we didn’t have the SmartSync backup, the work performed by two partners over a week would have been lost.”

That brings him to his ‘bottom-line’ description of the product – he describes SmartSync in just one word: “Fantastic.”

Accessing and working on documents contained in a central computer system was time-consuming and had to be done ‘on site’. This resulted in much wasted time and frustration for clerks and senior management at RSM Betty & Dickson.

With the implementation of CaseWare SmartSync, workflow is improved by providing easy access to all documentation over an internet connection. Collaboration is enabled, while work done remotely is centrally saved.

Not only does SmartSync enable a substantial gain in efficiency, it also saved the day when computers were stolen. That was thanks to the software’s inherent attribute of backing up changes made on local machines to the centrally-located database.
